Logistics & Hire Asset Co-Ordinator

We’re looking for a proactive and organised Logistics & Hire Asset Co-ordinator to play a vital role in supporting our global operations. Reporting to the Senior Operations Manager, this dual-focused position combines international logistics co-ordination with the effective co-ordination of boiler hire assets, ensuring shipments and equipment are compliant, cost-effective and delivered exactly when and where they’re needed. Working closely with internal teams and external partners, you’ll help keep our operations running smoothly while delivering a high standard of service to our customers.

Hours: Full-time, 37 hours per-week
Pattern: Mon-Thurs 8am-4:30pm, and Fri 8am-1pm
Based: Newbie

Key Objectives
Logistics is responsible for managing the end-to-end process of international shipments, ensuring the goods are exported efficiently, compliantly and on time. This involves co-ordinating with freight forwarders, customs authorities and internal teams to support smooth global distribution operations. You’ll play a key role in ensuring documentation accuracy, regulatory compliance and cost-effective transport solutions while maintaining high levels of customer service.

Boiler Hire Asset is responsible for the effective management, tracking and preparation of boiler hire equipment. This role ensures assets are available, compliant and ready on time to meet customer demand. You will act as the central point of co-ordination making sure the right equipment is in the right place, at the right time and in the right condition.

Main Tasks and Responsibilities
• Plan, co-ordinate and execute international shipments via air, sea and road freight
• Liaise with freight forwarders, carriers and shipping agents to arrange transport
• Monitor shipment progress and proactively resolve delays or issues
• Ensure on time delivery to customers and global partners
• Prepare and review export documentation (commercial invoices, packing lists, bills of lading, certificates of origin, export declarations)
• Ensure compliance with international trade regulations, customs requirements and incoterms
• Maintain accurate and up to date records
• Track asset status, availability and condition on internal systems
• Support asset audits and inventory checks
• Co-ordinate with engineering, Service Desk and factory teams to ensure the equipment is serviced, tested and ready for hire
• Ensure a high level of service and responsiveness

Skills and Qualities Desirable from Post Holder
• Working knowledge of export matters (e.g. INCOTERMS)
• Ability to deal with third parties in export matters
• Accuracy required when dealing with preparation of shipping documentation
• Flexible individual who can work with minimum supervision
• Strong organisational and coordination skills
• High attention to detail and accuracy in record keeping
• Ability to manage multiple tasks and priorities in a fast-paced environment
